College Possible is a growing nonprofit coaching students from low-income backgrounds to and through college to break the cycle of poverty and empower the next generation of leaders. Our model has earned national recognition: the inaugural Evergreen National Education Award recognized our leadership in increasing access to and success in college for students from low-income backgrounds. It also earns top-of-field results: a 2011 Harvard study found that the program more than doubles a student's chance of enrolling in a four-year college, and our students are four times more likely to become college graduates than their low-income peers. College Possible has a budget of $22 million, more than 130 full-time employees and more than 270 AmeriCorps and VISTA service members. During the 2019-20 school year, we will reach an estimated 25,000 students in all 50 states, at more than 90 partner high schools and at more than 350 colleges. 


College Possible's growth and scaling strategy Catalyze holds the potential to reach tens to hundreds of thousands more low-income college students over the next decade. Through its Catalyze initiative, College Possible will build the capacity of colleges and universities to adopt and integrate its proven coaching model into their infrastructure to better support every low-income student on partner campuses. College Possible will train and support its post-secondary partners in hiring and managing near-peer coaches, thus leveraging high-quality existing staff to implement the College Possible model.

Position Summary


The Recruitment and Operations Specialist is responsible for leading AmeriCorps recruitment for the Philadelphia site. This position works closely with the National office Human Resources Manager to facilitate the recruitment process and to coordinate the project management and logistics from candidate outreach through hiring. Additionally, the Recruitment and Operations Specialist supports the day-to-day operations of the site including bookkeeping, human resources, office management/purchasing, information technology, and project management.



  • Coordinate AmeriCorps Member Recruitment Activities: Coordinate recruitment activities and processes in the Philadelphia office year round including rollouts of processes and materials to the full team, training, logistics, etc.; Coordinate current AmeriCorps member activities (class raps, social media blitzes, campus blitzes, recruitment mailing campaigns, etc.); Coordinate full-time staff recruitment activities (staffing career fairs, campus blitzes, information/tabling sessions, etc.); Recruit/manage campus recruitment associate(s); Work closely with program team to cultivate and recruit current College Possible students.
  • Build Recruiting Relationships with Colleges and Universities: A critical function of this role is to build strong, sustainable relationships with key partners on college and university campuses. This includes regular visits to/communication with career and multi-cultural centers; Maintaining and developing the relationships with those key offices & refreshing their materials regularly (posters, flyers, quarter sheets, etc.); Hosting information/tabling sessions; Participating and arranging career exploration days, on-campus interviews, panels, etc.; Also build relationships with key academic departments (e.g. education and nonprofit management programs; Present to classes; Regularly post materials (posters, flyers, quarter sheets) in these department buildings; Build long-term relationships with a wide variety of student groups especially those focused on education, culture and diversity; Present at student group meetings, meet with group presidents/chairs regularly; Host site visits for student group leadership/members; Provide groups with materials and templates for recruitment.   • Facilitate Application Support and Review: Monitor application submissions and assist applicants who are experiencing difficulty completing an application; Host application assistance workshops; Conduct outreach to candidates who have started, but not completed, and applications; Train full-time staff as needed in application review and scoring; Coordinate the dispersal of applications for review by the College Possible team; Review and score applications; Manage the site process for compiling and sorting reviewed and scored applications.   • Coordinate AmeriCorps Member Interview Process: Coordinate the process for interviewing AmeriCorps member candidates from the invite to interview through the final scoring and compiling of interviewed candidates; Coordinate interview offers, RSVPS and scheduling; Manage interview preparation (create agendas, coordinate full-time staff schedules, create and update materials, etc.); Lead on logistics day of (welcome, flow, wrap-up, candidate review/scoring preparation).
  • Coordinate AmeriCorps Member Offer Process: Organize materials for reviewing fully interviewed and scored applicants; Coordinate full-time staff schedules for offer deliberation meetings; Manage materials and information to ensure the team has all information needed to make hiring decisions; Work with the National office to finalize offer recommendations; Make offers (in conjunction with program team as needed).
  • Assist with AmeriCorps Focused Events: Working with the Manager of Administration and Engagement, assist with the coordination of AmeriCorps focused events including annual orientation "Kick-Off" event and mid-year retreat for members.
  • Serve as site lead on Operations: Serve as the lead for all technology needs for the site. Work with the national office and executive director to track and monitor expenses as well as build annual expense budget for site. Coordinate all purchasing, receiving, and vendor relations for the site. Assist with computer/technical equipment and provide support for troubleshooting problems. Coordinate all site office functions and maintenance needs. Maintain all office equipment in proper working order, placing service calls as needed to ensure minimal disruption in operations.. Manage reception duties for the site ensuring that all calls and visitors are addressed in a prompt, professional and courteous manner. Coordinate calendars for internal conference rooms and serve as point person for reserving building conference rooms. Coordinate all purchasing and receiving for the site in keeping with organizational policies. Monitor, maintain and order office furniture and office supplies and equipment necessary for day-to-day use. Be responsible for the general presentation of the office.
  • Serve as site lead on Human Resources: Work with the national office to coordinate all human resource functions. Serve as the local human resource contact for the Philadelphia staff with responsibility for maintaining personnel files and fielding questions and concerns regarding benefits, reimbursements and taxes. Assist site leaders with the maintenance of files and time tracking. Ensure documentation relating to Service Corps member performance and other experiences relating to their term of service is appropriately documented and filed.
  • Support and Train AmeriCorps Members: Assist AmeriCorps members with program event and workshop planning, including logistics and problem-solving. Provide support in the development and implementation of an AmeriCorps training calendar; help prepare and evaluate trainings for AmeriCorps members, and summarize all information for future reference. Ensure compliance with AmeriCorps reporting and management requirements. Assist program leadership team in the planning of orientation, trainings and events.

Education and Experience:

  • Bachelor's degree in related field.
  • A minimum of one year of dedicated recruitment experience required; college recruitment experience strongly preferred;
  • Demonstrated success in recruiting diverse applicant pools highly desired;
  • Demonstrated ability to get work done through others;
  • Self-starter with the ability to take initiative and prioritize multiple projects and deadlines; simultaneously in a fast-paced environment.
  • Experience with budgeting software preferred.
