College Possible is a growing nonprofit coaching students from low-income backgrounds to and through college to break the cycle of poverty and empower the next generation of leaders. Our model has earned national recognition: the inaugural Evergreen National Education Award recognized our leadership in increasing access to and success in college for students from low-income backgrounds. It also earns top-of-field results: a 2011 Harvard study found that the program more than doubles a student's chance of enrolling in a four-year college, and our students are four times more likely to become college graduates than their low-income peers. College Possible has a budget of $22 million, more than 130 full-time employees and more than 270 AmeriCorps and VISTA service members. During the 2018-19 school year, we will reach an estimated 25,000 students in all 50 states, at more than 90 partner high schools and at more than 350 colleges.  

College Possible's growth and scaling strategy Catalyze holds the potential to reach tens to hundreds of thousands more low-income college students over the next decade. Through its Catalyze initiative, College Possible will build the capacity of colleges and universities to adopt and integrate its proven coaching model into their infrastructure to better support every low-income student on partner campuses. College Possible will train and support its post-secondary partners in hiring and managing near-peer coaches, thus leveraging high-quality existing staff to implement the College Possible model.

Basic Description

The Staff Accountant provides financial support to National Office, Catalyze, and two sites including development of the annual budget, periodic forecasts and review of actual results with Executive Directors and National SLT.  This position participates in the month end close process, which includes journal entries and balance sheet account reconciliations, provides support during the annual audits and fulfills other accounting requirements as needed. This role will also have the primary accountability for day-to-day accounting activities. Key responsibilities include monitoring daily bank activity and ensuring all bank transactions are properly recorded in the accounting system.

Essential Job Functions

AmeriCorps Grants Management: Manage all financial aspects of multiple federal CNCS AmeriCorps grants from proposal through grant closeout. Work with program staff to prepare grant budgets, monitor monthly grant expenditures, bill state commissions, applying knowledge of Uniform Guidance to ensure compliance with all federal OMB requirements.

Financial Site Support: Act as business partner and financial liaison to College Possible program sites around the country. Support site fundraising teams in grant procurement and reporting, assist site Executive Directors and key staff at sites in preparing budgets, reviewing monthly actual to budget reports, analyzing site financial performance, etc.

Budget Preparation, Reporting and Analysis: Work in collaboration with Finance team and key leaders around the organization to build the annual operating budget and perform two to three financial forecasts each year. Provide ad hoc analysis and information to Director of Finance and other key leaders to help maintain financial health and fidelity across various sites and programs of College Possible.

Accounts Payable:  Manage all Accounts Payable functions. Maintain current and accurate vendor records and process weekly expense transactions including invoices, reimbursable employee expenses and company credit card charges. Perform weekly check runs and process electronic payments through online banking portal.

Accounts/Grants Receivable/Revenue Releases: Enter cash, check and electronic receipts into Intacct accounting system with accurate coding. Create grant invoices for assigned sites. Monitor temporarily restricted revenue and release to the general ledger appropriately. Work with internal staff and external funders to monitor the status of funder payments.

General Ledger Accounting: Create and enter general journal entries for month end close. Reconcile balance sheet accounts as assigned.

Back-up Capacity: Because of College Possible's organizational structure, this position must provide back-up to other positions within the Finance department.

Education and Experience:

  • Bachelor's degree in Finance, Accounting or related field required;
  • A minimum of two years work experience in an office environment
  • Minimum one year of experience in Finance

Computer/Software Skills:

  • Strong computer skills, including demonstrated proficiency in Microsoft Excel
  • Proficient in financial accounting systems such as Intacct

Other Skills, Abilities and Requirements:

  • Solid understanding of debits and credits
  • Strong attention to detail
  • Ability to develop strong working relationships with national office and site personnel
