College Possible is a growing nonprofit coaching students from low-income backgrounds to and through college to break the cycle of poverty and empower the next generation of leaders. Our model has earned national recognition: the inaugural Evergreen National Education Award recognized our leadership in increasing access to and success in college for students from low-income backgrounds. It also earns top-of-field results: a 2011 Harvard study found that the program more than doubles a student's chance of enrolling in a four-year college, and our students are four times more likely to become college graduates than their low-income peers. College Possible has a budget of $22 million, more than 130 full-time employees and more than 270 AmeriCorps and VISTA service members. During the 2018-19 school year, we will reach an estimated 25,000 students in all 50 states, at more than 90 partner high schools and at more than 350 colleges. 

The Chicago office is comprised of a 33-person program team that currently serves 613 high school students attending 6 CPS partner high schools and 571 students attending nearly 50 local and national partner colleges. By 2021, we will serve 2,000 students.

Basic Description

The Recruitment and Operations Specialist supports the day-to-day operations of the site including bookkeeping, human resources, office management/purchasing, information technology, and project management, and serves as the local staff lead on AmeriCorps recruitment, hiring, training and management. This position may directly supervise AmeriCorps members.

Essential Job Functions

Lead AmeriCorps Recruitment and Management: Serve as the site lead for annual recruitment, selection, and hiring of AmeriCorps members. Coordinate local recruitment and interview opportunities. Train, coordinate, and support leadership team in their recruitment and selection efforts. Monitor member files, time sheets, and other management activities as appropriate to ensure AmeriCorps compliance. Support the site and national teams in collecting needed reporting data, and preparing all required quarterly or annual reports

Support and Train AmeriCorps Members: Assist AmeriCorps members with program event and workshop planning, including logistics and problem-solving. Lead in the development and implementation of an AmeriCorps training calendar; help prepare and evaluate trainings for AmeriCorps members, and summarize all information for future reference. Help build and maintain relationships with partner high schools and colleges. Ensure compliance with AmeriCorps reporting and management requirements. Assist program leadership team in the planning of orientation, trainings and special events.

Evaluate, Track and Report on Progress: Assist the Program Coordinator, Program Manager and Executive Director in the maintenance of member files and web reporting of member hours. Ensure documentation relating to Service Corps member performance and other experiences relating to their term of service is appropriately documented and filed.

Provide office management for College Possible Chicago site: Coordinate all site office functions and maintenance needs. Maintain all office equipment in proper working order, placing service calls as needed to ensure minimal disruption in operations. Collect and distribute all incoming mail and coordinate all outbound mail for the site. Coordinate all purchasing and receiving for the site in keeping with organizational policies. Monitor, maintain and order office furniture and office supplies and equipment necessary for day-to-day use. Be responsible for the general presentation of the office.

Serve as site lead on Operations: Serve as the lead for all technology needs for the site. Work with the national office to coordinate and resolve miscellaneous accounting issues. Coordinate all purchasing, receiving, and vendor relations for the site. Assist with computer/technical equipment and provide support for troubleshooting problems.

Event Project Manager: Responsible for the planning and execution of events benefiting College Possible students and team members.  Organize and execute Launch and Student Summit events.  Coordinate and facilitate team retreats.

Serve as site lead on Human Resources: Work with the national office to coordinate all human resource functions. Serve as the local human resource contact for the Philadelphia staff with responsibility for maintaining personnel files and fielding questions and concerns regarding benefits, reimbursements and taxes. Support AmeriCorps recruiting logistics for information sessions, application processing, interviews, etc.

Project Management: Develop, implement and complete projects as assigned by site team and leadership.

Annual Budget Development & Tracking:  Assist with the development of annual budget, and expense management.

  • Bachelor's degree required

Related Work Experience:

  • A minimum of three years related work experience required, including one year of dedicated recruitment experience; college recruitment experience strongly preferred;
  • Demonstrated success in recruiting diverse applicant pools highly desired;

Computer/Software Skills:

  • Strong computer skills, including demonstrated proficiency in: Microsoft Office Suite
  • Ability to troubleshoot minor technology issues and serve as liaison between site and tech support company.
